The clinicians, researchers and admin department at Sunnaas Hospital will undergo a change in their office structures by 2028, forcing their staff to adapt to flexible working stations. Such innovation projects are not new to the hospital staff, yet we found that this causes internal stress and innovation fatigue among their workers.

How might Sunnaas work strategically and systemically to handle broad shifts and large scale innovation projects?

Background In 2028 Sunnaas is set to implement a new system of devices for clinicians, and by the end of 2025 the majority of their office spaces will be moved into a denser open landscape solution as a new building is planned to be built.

Before addressing these implementations, we found that there’s a need to strengthen the clinicians engagement in shaping these projects, as many find themselves out-of-the-loop with what’s happening at their own workplace.

Staff feel out-of-the-loop, overwhelmed by innovation and worry because they are not sure what to expect.

ProcessWe visited Sunnaas several times during the project, observing their workplace, way of working and spoke with their clinicians. Together with project managers, members of staff and leaders, we conducted co-creational workshops held at the hospital. Their contributions were an important part of our process, as they tested and gave us feedback on our concepts to help us assess their feasibility.

In the end, this helped us develop a user journey map and a strategic model addressing stakeholder’s needs through various touchpoints.

ResultsPills for Change seeks to cultivate a more balanced internal communication dynamic through weekly feedback activities. The model is our proposal to tackling organizational change management. For the busy clinical staff with hectic schedules, we propose three different levels (different «pills») and means for staying updated, involved, and a space where they can give direct feedback to the project managers. «Pills» as a metaphor, represent various doses of information that are easier to digest.

The impact of our proposal is not found in each individual «pill», but in how they link together to form a feedback-loop system. This is how Sunnaas can work, in collaboration with their staff, on implementing future innovation projects in a way that is inviting and inclusive.
